The Vivaldis group (Vivaldis Interim SA and Vivaldis Construct SA), hereinafter referred to as "Vivaldis", located Lange Klarenstraat 19, 2000 Antwerp, processes your personal data with care and does everything possible to protect your privacy.
In this privacy statement we would like to provide clear and transparent information about how we process your personal data. Vivaldis complies in all cases with applicable laws and regulations, including the General Data Protection Regulation (also known as the General Data Protection Regulation or GDPR for short).
As part of our main objective, which is to place the most suitable temporary workers with the right employer so that they can develop their full professional potential, we regularly process personal data.
Scope of the privacy statement
This privacy notice (hereinafter “the privacy notice”) applies to personal data that we collect and process. It contains important information about how we collect and process personal data and for what purposes, and specifies the rights that you as a data subject can exercise. Please therefore read this privacy statement carefully.
This privacy statement governs the processing of your personal data when using our website and the services we offer. These processing operations are always carried out by the Vivaldis Group as data controller, located Lange Klarenstraat 19, 2000 Antwerp, with company number 0443.052.646.
More specifically, the Vivaldis Group will always take into account the principles on which the GDPR is based when processing personal data. We will always process personal data lawfully, for specifically defined purposes. We will take the necessary steps to never request more personal data than is necessary for the intended purpose or to retain such personal data for longer than necessary. Finally, we will also take technical and organizational measures to ensure appropriate security so that personal data can always be processed securely.
This privacy statement was last updated on November 24, 2024. We reserve the right to change this privacy statement as necessary. We will always communicate changes clearly.
Definitions
In accordance with current regulations, personal data means any information relating to an identified or identifiable natural person (“data subject”); an identifiable natural person is considered to be a natural person who can be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, location data, an online identifier or to one or more elements characterizing the physical, physiological, genetic, psychological, economic, cultural or social identity of this natural person.
We define the processing of personal data as any operation or set of operations relating to personal data or a set of personal data, whether or not carried out using automated processes, such as collection, recording, organization, structuring, conservation, adaptation or modification, extraction, consultation, use, communication by transmission, dissemination or any other form of making available, reconciliation or interconnection, as well as blocking , erasure or destruction.
In short, any actions we take with information that is, in any way, identifiable to an individual will be considered personal data and will be protected as such.
Objectives and legal basis
Vivaldis processes all your personal data for the purposes set out below, as well as the personal data we process and the legal basis we rely on to do so. We make a distinction based on the reasons why we contacted you.
1. General contact
When you contact us by email, telephone, contact form or any other means, we process your personal data in order to best respond to your request. We only process personal data that you explicitly provide to us. This information is integrated into our internal systems so that we can offer you an even better service in the future.
If you are already known to our organization, we store this data and this information is linked to the initial processing of personal data for which you are already known to our organization (for example, because you are a temporary worker or because your organization was already a client). If you are not known to our organization, we will keep your data for one year.
We rely on our legitimate interest for this activity.
2. You are a potential temporary worker
When you apply for a specific job offer with one of our clients or register on our job offers page, we process your personal data in order to evaluate your profile and offer you an adequate employment. To do this, we will process, among other things, the following personal data:
- Personally identifiable data such as name, address or date of birth
- Contact details such as telephone number and email address
- Details of your work experience and education
- Financial information such as your bank account number
We receive this information from you when you register with one of our offices or when you register on your website. The above list is purely exemplary. Depending on the position to be filled, we may process more personal data. However, we will only do this to be able to offer you suitable employment; this data will not be used for other purposes. You will always be informed.
3. You are employed as a temporary worker
If you have been employed by Vivaldis as a temporary worker, Vivaldis is legally required to retain your data for 5 years from the end of the last assignment. If you have not yet carried out a mission for Vivaldis, we will also keep your personal data for 5 years from the last contact. In the latter case, you can always request the erasure of your personal data at privacy@vivaldisinterim.be. We rely on our legitimate interest to retain your data in order to offer you suitable employment.
4. Apply internally at Vivaldis
In addition to temporary workers for our clients, we are always looking for new internal employees within Vivaldis. As part of recruitment, we collect data from people who apply to us, spontaneously or not. This could be the jobs section of our website, LinkedIn messages, emails or other obvious actions by which a candidate shows interest in a job application.
This personal data will be deleted within one month from the request if the candidate is not hired. If the person is hired, this data will be included in the personal file and kept for 5 years after the end of the contract, in accordance with the legal retention period. If the person is not hired but has an interesting profile, this candidate will be retained in the recruiting reserve for 13 months if the candidate has given consent. This consent will be requested again each year.
Please note that depending on your profile, it is possible that your application will not be accepted for an internal position at Vivaldis, but that your profile may be interesting for a temporary position. If you wish, your personal data will then be processed on the one hand as a potential temporary worker and on the other hand as an internal candidate.
5. Customer and supplier management
When we enter into agreements with our customers as suppliers, we also always process personal data in order to execute our agreement and manage our contractual relationships. This includes personal data of customer and supplier contacts. These mainly include name, telephone number and email address.
This processing is necessary for the execution of the agreement; without this data we cannot execute the agreement. We are also required by law to retain this data for 7 years due to accounting and tax obligations.
Furthermore, we process the data of potential clients in the context of our services as a temporary employment agency. This includes collecting and using contact details and other commercially relevant information of (potential) clients to whom we may offer temporary workers. For this processing, we rely on our legitimate interest to carry out our business activities. We may retain your data for a maximum period of five years from our last contract.
6. Newsletters and commercial messages
We believe it is important to maintain good relationships and communication with all our partners. Therefore, we will contact you to keep you informed of relevant offers and innovations and news that may be of interest to you, based on the initial relationship you have with us.
For the processing of personal data in the context of this activity, Vivaldis will use its legitimate interest. If you have explicitly subscribed to our newsletter, we rely on your consent. If you receive this communication from us, you can at any time indicate that you no longer wish to receive it, you can do so in the last message you received from us.
7. Security camera
Vivaldis has installed security cameras in certain locations to protect the physical safety of visitors and employees. These cameras don't always store images, but in some cases they only display the current image. Vivaldis collects this data on the basis of its legitimate interest in ensuring the safety of everyone. Image recordings are retained for a maximum period of 30 days.
Your rights as a data subject
Thanks to the GDPR, you have several rights regarding your personal data. However, these rights do not always apply. You have the following rights.
These rights can be exercised free of charge by sending an email to privacy@vivaldisinterim.be. In accordance with the law, we will process your request within one month of receipt of your request, subject to legal exceptions.
To comply with certain requests, we may always ask for additional information to confirm your identity and ensure that the request originated from you. We do this primarily in your interest, to prevent your personal data from being passed on to third parties without your consent or from being deleted.
1. Right of access to personal data
The right to request access to your personal data, to request a copy of the personal data we collect about you and additional information about how we process your data.
2. Right of rectification
The right to have incorrect personal data corrected or to have incomplete personal data completed that we hold about you.
3. Right to erasure of data (“right to be forgotten”)
The right to have your personal data deleted from our systems. The request to erase your personal data cannot always be granted due, for example, to contractual or legal obligations. We will respect these obligations when processing your request.
4. Right to object
The right to object to the processing of your personal data if the processing is based on our legitimate interest or on grounds of public interest. We will cease processing unless we can demonstrate compelling legitimate interests for continued processing or to assert legal rights.
You can also object to us processing your data for direct marketing purposes, so that personal data will no longer be processed for these purposes.
5. Right to withdraw consent
For the processing of your personal data collected by us with your consent, you can withdraw your consent at any time. For example, you can unsubscribe from newsletters at any time. However, withdrawing your consent does not affect the lawfulness of processing based on consent before its withdrawal.
6. Right to restriction of processing
In certain cases, you have the right to have the processing of your personal data restricted. If you successfully exercise this right, we will continue to store your data but limit its use. For example, you can make this request if you believe that your personal data is inaccurate or if its processing by us is not justified.
7. Right to transferability of personal data
The right to obtain the personal data we process in a structured, commonly used and machine readable format and/or to have it transmitted or copied to another controller.
8. Right to file a complaint

Beneficiaries
As a matter of principle, we do not share personal data with other parties who may use it for their own purposes. However, we will share your personal data in the following cases:
- Personal data may be shared between our different affiliates if this transfer is necessary for the provision of our products or services in accordance with the predefined purpose.
- For various processing activities, we use subcontractors. These are parties who receive specific instructions from Vivaldis regarding the processing of your personal data. They cannot under any circumstances process your personal data for their own purposes.
- If the law explicitly obliges us to provide the personal data.
Regardless of the processing, we take the necessary measures to process your personal data only in the European Economic Area. If we process your personal data outside the European Economic Area, we will take the necessary steps to ensure that the destination country offers an adequate level of protection so that your personal data is no less protected than if they remained in the European Economic Area.
How long will my data be kept?
We always apply the principle of storage limitation, i.e. for each processing of personal data we ask ourselves whether it is still necessary to process this data. If the necessity disappears, we delete your personal data. If a legal provision imposes a specific retention period on us, we will always respect this retention period. You will find specific retention periods in the description of processing activities.
